Visiting Contractor/Vendor Information

Sign-In/ Sign-Out Requirements

Visiting contractors/vendors to campus are required to sign-in with Campus Security upon arrival at the Facilities/University Services Center (USC) building at 401 E. 2nd St. Site access keys/cards & parking permits are provided at this time. Access key cards are required to be returned at end-of-day sign-out. See Driving Directions section below for map links.

Capital Planning & Construction Visitors, Site leads such as General Contractor Superintendents, and Specialty vendor Project Managers or foremen are required to sign-in as sole representative of their entire visiting team. Subcontractors to contracted G.C. or contracted vendors subs are not required to sign-in separately.

Facilities & Physical Plant Visitors (NOT Capital Planning & Construction) for maintenance work or stand-alone contract/P.O. or T&M work orders are to contact their WesternU Facilities representative for specific visitor instructions.

Information Technology/Audio Visual Department Visitors, (Net-Ops, Audio Visual & Tech Support) vendors are to report and abide by guidelines of their respective WesternU IT/AV project lead. Vendor shall contact the specific IT/AV lead that procured their services.

Colleges & Administrative Department Visitors should contact their WesternU representative for specific visitor instructions and meet-up location.

    Parking at WesternU

    Parking enforcement and citations are by City of Pomona police department and NOT WesternU staff. The lots are leased from Pomona Vehicle Parking District (PVPD). WesternU sells parking passes for these lots to cover lease rates. Parking in other non-designated areas can lead to tickets or vehicles towed if you park in a faculty/staff reserved stall. Visitors without visible parking passes in patrolled lots are subject to parking citations. Parking violations are NOT reimbursable by the University so please abide by rules and obtain clarifications with your superintendent or Project lead.

    Momentary free visitor parking is located on East side of our University Services Center (USC) Bldg. at:
    401 E. 2nd Street, Pomona CA. 91766. For longer visits, please inform Security to receive designated parking lot to be used. See parking direction links below for driving directions. Contact your University host to determine meet-up location if you are not a contractor/vendor working on a project.

    Construction Parking Permits are available to contractors after 7am at Security Office. Contractor/vendor site lead are to identify the quantity of vehicles visiting and hours expected on-site to receive instruction on parking lot to be assigned for use. Please identify if temporary visit or long-term construction visit. Site leads are to collect sufficient permits and distribute to their team. Collect and re-distribute parking permits from any subcontractors not returning and distribute to new scheduled subs. Contractor/Vendor lead shall obtain necessary permits prior to construction start to avoid pre-7am parking citations by early starting crews.

     

    Project Site Access

    Construction Parking Area, along with equipment staging, service vehicles location and offloading logistics are pre-determined during the pre-construction logistics meeting. Verify with University Construction Project Manager for these pre-identified areas and logistics.

    Vendor Access Badge (Card reader access to building worksite), shall be provided to construction team Site lead by security (1 per site lead). If no badges are currently available, request assistance from Security to get access to your work area for that day. All Access badges are required to be returned daily upon sign-out. Failure to return the badge may result in card deactivation.

    Lockset Hard Keys are restricted and not provided. If your project requires access to a locked room not accessible by card reader, please request assistance from Security to unlock the doors needed at beginning of project day. Please notify security at end-of-day sign-out, of rooms unlocked for you in case security policies of that department require these to be relocked at end-of-day.

    Travel Path to Work Site, will vary depending on logistics plan identified on Kick-Off package provided by Construction Project Manager, or as identified during the pre-construction site meeting.

    Contractor vehicles may all be assigned to single parking lot area with separate temporary offloading at site. Alternatively contractors may be split among dual lots for service and material/equipment vehicles closer to site with non-equipment vehicles at differing lot depending on the quantity of stalls needed for the crew. The Construction Kick-Off package provided by WesternU Construction Project Manager, will identify pedestrian travel paths to construction site from any and all designated contractor parking spots.
